In order to remain competitive across various markets and industries, small businesses are turning to more efficient and time saving methods of operation. In doing so, many are outsourcing or even establishing a virtual business where some or all of their departments are in dispersed locations. This can allow business owners to save money on real estate or office space, employee wages, and allow them to work more efficiently by freeing up their own time.

One department that can be established virtually is HR. HR traditionally handles employee matters such as payroll, benefits, etc. Many of these things can be handled from a virtual location and the HR personnel does not have to be on location. In order to set up this virtual HR department some companies are turning to a virtual PBX to establish their communications.

A virtual PBX is just as it sounds. It is a PBX (Private Branch Exchange) phone system that allows for a main menu greeting, multiple extensions, call forwarding and transferring, voicemail and more. The only difference is that it is a virtual system and does not require hardware to be installed at a location. This means that the virtual PBX can forward calls anywhere and it does not tie employees or whole departments to a single location. There are unique features within a virtual PBX that aid the HR department in maintaining efficiency and enhance their ability to serve employees regardless of where they are located.

* Most virtual PBX systems will include virtual fax. By combining an HR department's phone and fax, businesses can save money on fax hardware, toner and paper. A virtual fax solution also allows for the archiving of incoming and outgoing faxes for future retrieval. HR staff can access their faxes online and email regardless of their location.

* Most people are so bombarded with emails every day that important messages can get missed. To make important messages coming out from the HR department stand out, they can be sent out using a voice message blast. This will make calls to all of the employees and deliver the message, ensuring that it doesn't get buried under a pile of papers on their desk or lost in their email inbox. It also saves the HR department's time by not having to make multiple phone calls about the same subject.

* Virtual PBX systems can also store documents that can be retrieved by callers simply by entering in their fax numbers. HR is constantly getting requests for forms and documents required by employees. By storing them in the virtual phone system, employees can dial the HR phone number and get those documents on their own.

* Virtual PBX phone systems also have extensions that can hold recordings for callers to listen to. HR can load recordings on frequently asked questions to save them from explaining the same information over and over again. In today's competitive business world, companies are looking to cut costs and increase efficiency while still maintaining their ability to serve their customers as well as their employees well. Eric Schmidt, who offered some remarks, expressed optimism that the challenges we face with governments' walling off access to the Internet can be overcome technologically by building networks that are transparent, scalable, and open.
